Annual Appeal /Annual Fund / Direct Mail - General Information

The direct mail campaign most noted is the annual appeal, also called the annual fund or annual campaign. The annual appeal is a direct mailing that usually is received by donors in late November to early December. Some organizations mail at different times during the year, depending on the type of organization, or times when donors are more likely to give to their cause.

Appeals can run for several weeks or can go throughout the year. Appeals often have follow-up letters to non-donors listing program contributions to date to encourage further giving. Annual appeals generally start out small and grow over time, so yearly consistency is very important in building a strong campaign.

The appeal is usually a standard letter or flyer format sent in a #10 envelope with a #6 or #9 remittance envelope included so that donors can send donations back to the organization. Some organizations send 8.5 x 5.5 size A9 Greeting card with an A9 Invitation Envelope and a remittance envelope to take advantage of higher quality photographs with a greeting card format or for a more holiday themed appeal.

Don't forget to ALWAYS send a thank you to acknowledge the donor and the donation. A standard personalized letter with #10 envelope, A2 size card with A2 envelope, or a 4.25" x 6" postcard with high quality photo and handwritten note, are the most widely used. Direct Mail

Throughout the year potential donors will contact your organization or you will run into them at events, chamber functions, or just while out in the community. One of the best assets a not-for-profit can have is strong marketing materials that offer prospective donors, volunteers and supporters concise information about your organization and always offer a way for an individual to give.

 

Some direct mail pieces include:

Newsletters - a must have for every organization.

 

Brochures - remember to add a cut off donation panel so that donors have an easy way to send you a donation. Make it a tri-fold for easy self mailing.

 

Remittance envelopes - the perfect way to include information about your organization in a handy self addressed envelope with easy way for donors to enclose a check and return.

 

Postcards - a great tool for quick inquiries and follow-ups when a potential donor requests information.

 

Flyers - a necessity to keep on hand for volunteers and community outlets. 8.5 x 5.5 half page sheets are an ideal size.

These printed materials can also be used to establish an ongoing direct mail campaign in your community for:

Join your local Chamber of Commerce and send a postcard to each new member on a monthly basis. Most Chambers announce their new members in their monthly newsletters.

 

Join other networking groups that meet on a weekly or monthly basis and be sure to take your business cards and brochures.

 

Purchase a mailing list to do targeted mailings in your community. These can target a geographic area, income, or a number of other factors. Targeted mailings can be very effective but they can also be expensive so be sure the list you are purchasing is 98% delivery guaranteed and that the criteria you've selected is important in identifying potential supporters.
